What is a Contact Owner?

A Contact Owner is the team member responsible for a contact. Each contact can have one Owner, identified by the team member’s email address. This relationship helps your business establish clear customer ownership for sales attribution, follow-up, and customer service.

Use the Owner for conversation assignment

After assigning Owners to contacts, you can configure Inbox conversation-assignment rules to automatically route an incoming conversation to the contact’s corresponding Owner. This helps returning customers reach the team member who is already responsible for them.

Use the Owner for data access control

Contact ownership can also control which customer data a team member can access. If a role is configured to manage owned data only in Contact permissions, a member with that role can view and manage only contacts whose Owner is that member.
Assign Contact Owners consistently before enabling owner-based conversation routing or owner-based data permissions.

How to Set Up Owner?

Method 1: Editing in Contact

Open the contact in Contact, then click Edit.

Open the contact and select Edit.

Find the Owner setting item and set the Owner. Enter the Owner’s email address or select an existing Inbox agent, then click Submit.

Enter or select the Owner, then select Submit.

Method 2: Setting Owner in Inbox

After logging into Inbox, expand the user information bar. Click Owner, select the desired Owner to transfer, and the transfer is completed instantly.

Open Details, expand More info, and edit Owner. This example shows an unsaved email entry.

Method 3: Bulk Import of Customer Information with Owner

Open Contact, select New contacts, then select Upload a file.

Download the template before preparing your import file.

Edit the template. Save and upload to YCloud. Add an Owner column containing the owner’s email address. For example:
Replace these fictional values with your contact data and the responsible team member’s email address. After uploading, confirm that the mapped fields are correct, then select Next.

Map the Owner column to Owner and verify the other columns before selecting Next.

Review the number of valid, invalid, and duplicate records, then select Next to import.
